Medical Front Desk Receptionist (Cardiology Practice)

Location: Pasadena, CA
Schedule: Full-Time, Monday through Friday, 8:30 AM to 5:00 PM (30-minute lunch)
Payrate- $18-21hr

We are currently seeking a friendly, organized, and customer-focused Medical Front Desk Receptionist to join our team.

Position Summary

The Medical Front Desk Receptionist serves as the first point of contact for patients and visitors and plays a vital role in ensuring smooth daily office operations. This position is responsible for patient check-in and check-out processes, appointment scheduling, phone communications, insurance-related administrative tasks, and supporting the overall patient experience in a fast-paced cardiology practice.

The ideal candidate is compassionate, detail-oriented, professional, and able to effectively manage multiple priorities while maintaining excellent customer service.

Key Responsibilities

Front Desk & Patient Services

  • Welcome patients and visitors in a friendly and professional manner
  • Check patients in and out for appointments
  • Verify and update patient demographics and insurance information
  • Collect copayments and process daily payment transactions
  • Maintain confidentiality and professionalism at all times
  • Ensure a positive patient experience from arrival to departure

Phone & Scheduling Responsibilities

  • Answer incoming calls promptly and professionally
  • Schedule, reschedule, and confirm appointments
  • Coordinate follow-up visits, diagnostic testing, and new patient appointments
  • Route calls appropriately to providers and staff members
  • Communicate effectively with patients, physician offices, hospitals, pharmacies, and insurance representatives
  • Assist with phone triage and message management

Administrative & Insurance Support

  • Enter and maintain accurate patient information in electronic medical records (EMR) systems
  • Obtain and process insurance authorizations as needed
  • Access insurance carrier websites, hospital portals, and other online resources to complete data entry and documentation
  • Maintain accurate records within practice management systems
  • Support providers and clinical staff with administrative tasks as assigned

Preferred Qualifications

  • Minimum of two years of medical office experience preferred but not required
  • Experience with electronic medical records (EMR) systems is a plus
  • Knowledge of insurance verification and authorization processes is beneficial
